Reconcile a card statement
Upload a month's card statement and check every line has an expense in Jobber, then close the month.
For a card Matched doesn't read directly, like a bank Visa, upload the statement once a month. Matched checks each line against the expenses your team already entered in Jobber and shows what's missing. Nothing connects to your bank.
Upload the statement
- Export the month from your bank as a CSV file (or OFX or QFX). TD's download works as it is.
- Open Charges, then Statements.
- Under Upload a statement, choose the file and pick the Card. For a new card, choose Another card and type its Card name and Last four digits.
- Check the preview. If the dates or amounts look wrong, open Columns and pick which column is which. Matched remembers your choice for that card.
- Select Upload statement.
Payments to the card (a line like "PAYMENT THANK YOU") are left out. Refunds and returns stay in as negative charges. Uploading the same statement twice, or one that overlaps last month's, never adds a charge twice. Card numbers are cut to the last four digits.
Check the lines
Matched reads Jobber's expenses for the statement's dates and pairs each line with the expense a tech entered: same amount, date within a few days, and a similar name. The statement page shows:
- Missing from Jobber: no expense yet. Pick the job (Matched suggests one) and select Add to Jobber, or select No job, Personal or Ask the cardholder. An expense Matched adds says No receipt yet until someone attaches the receipt in Jobber.
- Unexplained: charges you asked the cardholder about. Select Accept as unexplained if you can't find out, or Back to Missing from Jobber once you know.
- In Jobber: nothing to do. If a pairing is wrong, select Not this expense.
- In Jobber, not on this statement: expenses in the same dates with no line on the statement. Often a typo, a wrong amount, or another card. Select Not this card to set one aside.
If two expenses could match one line, pick the right one with Pair with. Select Read Jobber again after the team fixes something in Jobber.
Add to Jobber only sends when sending to Jobber is on. Matched never changes or deletes an expense someone else entered.
Ask the cardholder
Select Cardholder list to see every charge you asked about, with the date, merchant and amount. Copy it or select Print, and send it to the cardholder yourself.
Close the month
When every line is in Jobber, added, No job or personal, or accepted as unexplained, select Close the month. Matched records who closed it and when, and shows it at the top of the statement.
See every card together
On Charges, select All charges to see every charge from every card with its state: In Jobber, entered by a tech; In Jobber, added by Matched; Needs a job; Unexplained; or No job or personal. Filter by card or by state.
Statement charges count toward your plan like any other card charge.
