Match a charge
Send a recommendation to Jobber, pick another job, mark No job, ignore a charge, or split it across jobs.
Open Charges to see every charge waiting for a job. Each row shows the date, card, building or merchant, amount, the recommendation, and the confidence.
Skip the guessing: write the job number
Ask whoever uses the card to type Job 123 in the charge's memo. Matched then recommends Jobber job 123 at High. With Auto-accept High on, it goes to the job with no one clicking; with it off, it waits for one click. See How matching works.
The same goes for a Float bill: type Job 123 in the bill's memo, or in each line's description when lines are for different jobs. A bill shows Bill in the Card column, with its invoice number and “Approved, not paid yet” or “Paid”. See Connect your card platform.
Send a recommendation to Jobber
- Select Send to Jobber on a row to use the recommended job. When Matched recommends No job, the button says Confirm no job instead, since nothing goes to Jobber.
- Select Send all Highs to Jobber at the top to use every High recommendation at once.
The row leaves the list and a short message says what happened.
Your very first expense to Jobber is sent with a single Send to Jobber, so you can check it in Jobber. After that, Send all Highs to Jobber sends them all. When sending to Jobber is off, the match is saved and waits in Ready for Jobber.
Pick something else
- Select Change on the row (or Choose when there's no recommendation).
- Pick a job from the list. Jobs at that building come first, then finished or closed jobs there, then all open jobs.
- Select Match to job, No job or Ignore.
- Match to job puts the charge on the job you picked.
- No job is for a company cost, not tied to any job, like fuel or office supplies.
- Ignore is for charges you don't want on any job.
Select Cancel to close it without changes.
No job or Ignore?
- Use No job for real company costs that belong to no single job. After you mark a merchant No job three times, Matched recommends No job for it.
- Use Ignore for charges that aren't a cost to track, such as a personal charge that was paid back.
A card set to Office only, never for jobs has its charges marked No job for you. See Whose card is whose.
Neither is sent to Jobber.
Split a charge across jobs
One supply run for three jobs? Split it.
- Select Change, then Split across jobs.
- Pick a job or No job for each part and type its amount. Use + Add part for more parts and Split evenly to share the total.
- When it says “Adds up”, select Save split.
The parts must add up to the whole charge. Each part becomes its own expense on its own job, with the receipt.
If a charge is coded to several buildings, Matched may suggest a split. Select Send split to Jobber to use it.
Returns
A return shows as a negative amount. Match it like any other charge, usually to the job the original purchase went to.
Before job costing
Job costing for a month counts the expenses Matched puts in Jobber. A charge from that month that still needs a job, is matched but not sent, or failed to send is left out.
On the 1st to the 7th of each month, Charges shows how many of last month's card charges and bills aren't in Jobber yet: how many need a job, how many are matched but not sent, and how many failed to send. Select each to see them. When they're all in, it says the month is ready for job costing.
- Charges marked No job or Ignore never go to Jobber, so they don't count.
- Statement lines and bank cards connected through Plaid don't count either. Their expenses are entered in Jobber by hand.
- It shows only when sending to Jobber is on, and never with sample charges.
A card Matched doesn't read
For a bank Visa or another card, upload its statement once a month. See Reconcile a card statement.
